Genie Tutors were using a non-franchised CRM for managing enquiries to their business, both for parents enquiring about classes for their children and for tutors applying for positions with Genie Tutors. It increasing became problematic that the existing system didn’t provide any easy way to partition up the data so that each franchise could only see their own data. Equally, the existing system provided no tools for managing the franchise as a whole. Genie Tutors owner Luke Scrutton explains “The franchise has been growing rapidly and it became clear that a standard CRM would no longer do. Accordingly we needed a system that could cope with our needs as a growing franchise”.
After some research into the options, Luke contacted Franchise 360 in April 2015. This was followed by two demonstrations, one by us of the Franchise 360 Standard Edition and one by Luke of his existing system so that we could both start to get an understanding how a replacement system might work. Early on, it became clear that Franchise 360 Standard Edition provided just about everything that Genie Tutors required. However, there were a few small holes: in particular, they also needed something to help manage their customer and tutor enquiries. Fortunately, what was needed rather resembled the existing Standard Edition franchisee recruitment area.
We therefore proposed that a small amount of modifications be made to the Standard Edition. In short, we proposed to replicate the recruitment module and open it up to franchisees for use with tutors and customers. By doing this, Genie Tutors could track prospective students, tutors, active students and active tutors. We suggested complementing this with some extra data fields, the addition of tasks and notes against all types of prospects and, some additional reports. We also proposed to write a data import routine to pull the data from the Genie Tutor’s existing CRM system and convert this correctly into notes and tasks against newly imported prospects.
After checking over these proposals, Luke decided to go ahead with the new system and, after a few weeks of development and testing, in September 2015 it was ready. Luke piloted the system in one franchise and when he was happy that everything worked as expected, rolled it out to all franchises so that now the whole network is using the system. Luke says “I am delighted with the new system; in particular, the shared data platform enables me to work more closely with my franchisees and thereby maximize our whole network performance.”
